Development Assistant
Job Description
Exempt, full-time employee. Starting salary range $50,000 – $60,000
Position Summary
The Development Assistant reports directly to the Vice President of Development, and
supports Heritage Fund’s fundraising and donor engagement efforts primarily by managing
and maintaining the integrity of the foundation’s Customer Relationship Management (CRM)
database. This role is responsible for accurate gift entry, pledge tracking, donor record
maintenance, and detailed documentation of donor touchpoints, ensuring all interactions and
contributions are recorded in a timely and confidential manner. The position also generates
reports to support development strategy, campaign tracking, financial reconciliation, and
board reporting. With a strong emphasis on data accuracy, organization, and professionalism,
the Development Assistant plays a key role in strengthening donor relationships and
supporting the foundation’s philanthropic impact.
Essential Functions
• Donor Relations & Stewardship
o Primary support to the Vice President of Development, and secondary support to other
team members in executing the foundation’s comprehensive fundraising and stewardship
plans.
o Record all contributions and fund transactions in an accurate and timely manner.
o Prepare personalized acknowledgment letters and stewardship communications for
requisite review, and distribute accordingly
o Respond professionally and promptly to donor inquiries within 24 hours.
o Assist with planning and logistics for donor cultivation and recognition events.
o Maintain confidentiality and ensure a high level of customer service in all donor
interactions.
• CRM & Data Management
o Serve as primary CRM contact and internal software super user, ensuring full and effective
system utilization.
o Oversee accurate gift entry, pledge tracking, fund allocations, and donor record
maintenance.
o Manage CRM templates for acknowledgments, tax receipts, pledge reminders, and
stewardship communications.
o Track and document donor touchpoints, meeting notes, and engagement activity.
o Generate routine and customized reports for development strategy, campaigns, finance
reconciliation, and board reporting.
o Identify and implement improvements to database processes, tracking, and reporting
functions.
• Donor Advised Fund Administration
o Process donor advised fund grant recommendations within 48 hours.
o Ensure appropriate documentation, compliance review, and record retention for all grant
recommendations.
o Provide timely follow-up and support to donor advisors regarding grant activity and fund
balances.
• Development & Administrative Support
o Assist with annual appeals, campaigns, and other fundraising initiatives.
o Conduct basic donor and prospect research as requested.
o Prepare development materials, minutes, reports, and meeting packets.
o Provide general administrative support to the development team.
Education, Skills, and Experience
• Bachelor’s degree preferred.
• 2–4+ years of experience in nonprofit development, database management, or administrative
support.
• Strong CRM proficiency required; experience with Foundant preferred.
• Demonstrated ability to optimize and fully leverage database systems for tracking, reporting, and
stewardship.
• Exceptional attention to detail, organizational skills, and ability to manage multiple priorities.
• Strong written and verbal communication skills.
• High level of professionalism, discretion, and commitment to donor confidentiality.
• Interest in community philanthropy and the mission of Heritage Fund.
